Tolra

Tolra: job management for small CNC shops

Quotes, jobs and chasing live in different places, so late jobs and unanswered quotes are found out too late

The problem

What a shop owner needs to see, and usually can't

Late jobs

See which jobs are running behind before the customer rings you

Quotes nobody has chased

Quotes sent with no reply, listed so you can chase them

Work waiting for inspection

Finished jobs waiting to be checked, in one place

What I build

One system for the work, from quote to invoice

Tolra is in pilot in JNR Engineering and Marpet Fabrications, used in the workshop and in the office, with AI built into the app

  • AI that reads from emails
  • AI drafts quotes and invoices, and nothing is sent until you approve it
  • Revenue measuring
  • Follow-ups and chasing by email, when you schedule them
  • One all-in-one system, used on the workshop floor and in the office
Where Tolra sits

The steps Tolra runs

These are the steps in the lifecycle that Tolra handles, from the drafted quote to the invoice

  1. Quote drafted

    Service: Automation and Tolra

The old way: Someone retypes the enquiry into a quote document and checks it against the template by hand

With the system: The details are captured and a quote is drafted from your template for you to check

The outcome: Quotes go out faster, and nobody retypes the same details twice

  2. Approved & sent

    Service: Automation and Tolra

The old way: Finished quotes wait in drafts until someone has time to check and email them

With the system: Nothing goes out until a person approves it, and then it's sent in one step

The outcome: You stay in control, and approved quotes don't wait around

  3. Follow-up

    Service: Automation and Tolra

The old way: Chasing a quote depends on someone remembering to ring or email

With the system: Follow-ups and chasing by email go out when you schedule them, and the dashboard lists quotes with no reply

The outcome: Fewer quotes go cold, and you can see which ones still need an answer

  4. Order won

    Service: Tolra

The old way: A won quote is retyped into a job sheet, and the details drift between documents

With the system: Quotes, sales orders and jobs sit in one system, so the details are entered once

The outcome: Fewer mistakes between the quote and the job

  5. Job scheduled

    Service: Tolra

The old way: Jobs are planned on a whiteboard or in someone's head, and a late job is found out when the customer rings

With the system: Every job sits on one job board with a due date and a stage, and the dashboard shows which jobs are running late

The outcome: Late jobs are spotted early, before the customer rings

  6. Made & inspected

    Service: Tolra and CSV

The old way: Inspection results live on paper or in a folder, and nobody can see what is waiting to be checked

With the system: Finished work waiting to be checked is listed in one place and results are recorded against the job, and for regulated manufacturers I validate the system that holds those records

The outcome: Fewer errors reach the customer, and the records are audit-ready

  7. Delivered

    Service: Tolra

The old way: Nobody is sure what has gone out and what is still on the floor, so the phone rings

With the system: Finished jobs are marked complete on the job board, so everyone can see what has shipped and what is waiting

The outcome: Fewer calls asking where an order is

  8. Invoiced

    Service: Tolra

The old way: Invoices are retyped from the job sheet days later, and late payment is noticed late

With the system: AI drafts the invoice for you to approve and send, and the dashboard shows money that's late

The outcome: Invoices go out sooner, and late payment is visible

Where it's at

What's working and what's coming

Working today in the pilot

  • AI that reads from emails and drafts quotes and invoices for you to approve
  • Revenue measuring
  • Follow-ups and chasing by email, when you schedule them
  • Dashboard showing what needs you today
  • Job board with filters for type, due date and stage

In development

  • Machine schedule
  • Weekly hours and delivery notes
  • Purchase orders and an approval queue

I built Tolra myself, coming from a background in validated manufacturing systems, and I'm developing it alongside the shops using it

Questions

Questions about Tolra

What is Tolra?

Job management for small CNC and fabrication shops, built to keep track of quotes, jobs and what's waiting to be checked

Who is it for?

CNC and fabrication shops with 5 to 100 people

Is it ready to use?

It's in pilot in two working shops, JNR Engineering and Marpet Fabrications, so I'm adding features as I work with the shops involved

Does it use AI?

Yes, it reads from emails and drafts quotes and invoices, and a person approves everything before it's sent

How does it save me time?

It keeps quotes, jobs and chasing in one all-in-one system, and it can follow up and chase by email when you schedule it to

Can I see it?

Yes, ask about the pilot and tell me how you run jobs today, then I'll show you

Are the screenshots real?

They show demo data, not a customer's real jobs

Ask about the Tolra pilot

Tolra is in pilot in two working shops right now, so if you run a CNC or fab shop with 5 to 100 people and want to see it, tell me how you run jobs today
